Terms and Conditions


By renting products from Gilded Lily Rentals you agree to these terms and conditions:

Payments:

We offer 2 payment options: All the payment is due up front or through a payment third party from our website that allows you to split up payments.

All retainers of at least 25% of the total balance must be submitted with all orders. The retainer is deducted from the total price of the wedding/event.

Disclaimer:

By renting our floral arrangements you understand that though some of these flowers look real, and are named after real flowers, some of them are in fact artificial, and therefore only resemble the real flower for which it is named after or referred to.

Balance due must be paid in full at least 30 days prior to the wedding/event. If payment of balance due is not made, flowers and decor will not be ordered, and this contract will be closed at the determination of Gilded Lily Rentals. If Gilded Lily Rentals determines the contract can still be fulfilled after this date and you wish to continue the contract, there will be a 10% fee added to the balance due and an additional 10% fee for each 7 days that the balance is late. Any extraordinary costs incurred due to the late payment will be passed on to you.

Additions less than 30 days prior to the wedding/event, will be accepted up to7 days prior to the wedding/event and must be paid within 24 hours. No guarantee is given that the same flowers will be available, and pricing will be determined according to what is available. Color and style will be matched as closely as possible.


Substitutions:

Gilded Lily Rentals reserves the right to make substitutions in the event the flowers or decor received are not of the quality suitable to wedding/event. The integrity of the proposed look and color scheme will be maintained and flowers of equivalent value will be used. Gilded Lily Rentals will inform you if a dyed flower is being used and will not be held liable for staining to any garments due to their usage.

At the time of the initial retainer, adjustments can still be made to the invoice. Large additions and subtractions are accepted up until the balance is paid in full - at least 30 days prior to event. There is a guaranteed minimum payment of 85% of the original proposal. Any liability on the part of Gilded Lily Rentals is limited to the full refund of monies paid minus the retainer fee. Due to fluctuating flower prices, price increases may occur and will be passed onto the customer if their rental includes fresh flowers. The customer will be notified as soon as Gilded Lily Rentals is made aware of these increases. Gilded Lily Rentals will send the customer an invoice for the additional cost, to be paid within 30 days of the event.

Price is for 1 setup/location only. Additional fees will apply if the desired rental item is to be moved from the ceremony to the reception, or anywhere else if not within the same room. If you need any item moved from the ceremony, to the reception, or any where else, an additional moving and setup fee will be required. Our arches, arbors, pillars, and backdrops are very large and do not fit through normal doorways. Some of them have to be dissembled, which will require our movers and/or florist to remove the florals, dissemble the item, transport it to the new location, then reassemble, and re-apply the florals. We require our own team to move any items unless approved from us prior to the event. This is due to insurance, which will not cover anyone outside out team or an industry professional to handle our items.

It is your (The Client, Client's Representative, Wedding Coordinator/Wedding Planner) to clearly communicate with your venue to confirm our rentals will fit in the desired space and that they can be moved through the venue doorways, hallways, elevators, stairways for placement access.  Any orders that cannot be fulfilled due to space or delivery limitations are not the responsibility of Gilded Lily Rentals.  No refunds for lack of deliverability will be provided.

All orders include free delivery, setup, and pick-up if the following parameters are met:  Delivery is within 50 miles of our warehouse in Mansfield, MA,  there is only one venue location required for delivery, one set-up location and one pick-up location, and pickup time is no later than 9:00 PM.   Pickups past 9:00 PM will incur an additional fee; see schedule below. Multiple delivery locations and/or additional set-up sites will require associated fees for staff time/travel to safely set designs as desired by the client.  

Delivery costs for orders outside of 50 miles is based on $1 dollar per mile but final costs will include consideration of wedding/event location and whether the delivery involves setup from our movers and/or florist, final pick-up time and size of team needed to facilitate all.  Please email us and we can give you a quote for this price based off these factors. 


Any pickups past 9:00 PM are subject to a late-night pickup fee, which can be found below.

  • 9:30 PM     charge of $50
  • 10 PM        charge of $100
  • 10:30 PM   charge of $150
  • 11 PM        charge of $200
  • 11:30 PM   charge of $250
  • 12:00 AM   charge of $300


Product Handling:


No rentals can be left outside overnight, including the altars, arches, or backdrops of any kind, as well as all floral arrangements. The arches cannot be in the rain due to damage. If there is rain coming and the arch is outside we will come get the arch early and/or provide an alternate install location.

No one is allowed to transport, take-down, or move our product without prior written approval.
Any damage incurred to our product beyond natural wear while renting our items will be charged to your card in the amount of 3 times the rental price of the item.

If an item is not returned within the rental agreement period of time, you will be charged 4 times the rental cost of the item and will be allowed to keep the item.
Your credit card information is safely stored and will be deleted once the items are returned.

All décor must be communicated to Gilded Lily Rentals to preserve the consistency of wedding/event. Any décor for the wedding/event not provided by Gilded Lily Rentals is not guaranteed to match Gilded Lily Rentals' product even in cases where Gilded Lily Rentals items are integrated. In such cases, any alterations deemed necessary will be made to preserve consistency and Gilded Lily Rentals will be blameless.

 

Severe Weather

Gilded Lily Rentals' products may not be used outside should severe weather take place or be expected to take place during the rental timeframe. Gilded Lily Rentals defines severe weather as, but not limited to: rain (light or heavy), wind, thunder, lightning, tornado watch or warnings, snow, precipitation of any kind, or excessive wind that could cause damage to our products or others.
Gilded Lily Rentals reserves the right to refuse service at any time due to inclement weather. Should any rented products not be used in the case of severe weather, Gilded Lily Rentals does not issue refunds.
When reserving our florals products, we strongly recommend ensuring an indoor inclement weather plan to ensure your dream florals can be utilized.


Venue and Location Limitations:

Gilded Lily Rentals is limited by the rules and guidelines of the location(s) and site management. Negotiation with the officials for moderation of guidelines is the responsibility of The Customer; Gilded Lily Rentals will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations not communicated to Gilded Lily Rentals.


Cancellations:

We require a 90-day cancellation notice, otherwise your retainer cannot be partially refunded. In the event of a war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your wedding/event, we will move your retainer free of charge to another date. Retainers will not be refunded in full, they will exclude the payment processing fees, as well as any time we spent in communication with you, the time spent forming this proposal, any time spent working on your event preparations, fees charged by our banking institution for refunds, and may include the fees associated with us making this available online for you to rent online.

Gilded Lily Rentals reserves the right to cancel this contract if at any time Gilded Lily Rentals feels that the obligations cannot be met. Gilded Lily Rentals will credit the amount paid, minus any actual costs incurred up to that point that Gilded Lily Rentals informs you.

Any controversy or claim arising out of or relating to this contract, or the breach thereof, shall be settled by arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules [including the Optional Rules for Emergency Measures of Protection]. The arbitration hearing shall take place in Massachusetts before a single arbitrator. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
